Receipts, forms and notes

The paperwork gets done, and you just say yes

Receipts in the glovebox. Bills typed in by hand. Notes from a client call on the back of an envelope. None of it is hard, exactly. There's just always more of it. We set things up so the paperwork gets read, sorted and filed, and you only step in to approve.

Receipts and bills, sorted for your bookkeeper

Snap a photo of a receipt, or forward the email a bill came in. It gets read, the vendor, date and amount get pulled out, and it lands in your accounting software in the right place, waiting for a quick yes from you.

Your bookkeeper gets tidy records instead of a shoebox. You get your evenings back. Nobody has to sigh on the phone.

Forms that send and file themselves

New client paperwork, intake questions, waivers, onboarding checklists. When someone books or signs on, the right forms go out on their own. When they come back, the answers get filed where you'll actually look for them, and anything missing gets a gentle reminder.

No more retyping a form into another system, and no more digging through email to find out who signed what.

Notes that turn into next steps

After a client call, your notes become a short summary and a drafted follow-up email, waiting for you to read and send. The promise you made on the call ("I'll send that over this afternoon") actually goes out this afternoon.

The same goes for the tasks that come out of a meeting. They land on a list with a date on them, instead of rattling around in your head.

Your numbers, without the spreadsheet

Once the paperwork flows into one place, a short weekly summary is easy: what came in, what's owed, and what's coming up. It shows up in your inbox on Monday morning, pulled from the tools you already use.

No dashboard with forty charts. Just the handful of numbers that tell you how things are really going, so the gut feel has something to lean on.

Start with one pile

We don't try to automate the whole back office in one go. Pick the pile that bugs you most, whether that's the receipts, the forms or the notes, and we get that one working on your real paperwork first. Once you trust it, we look at the next.

Everything stays checkable. Nothing gets filed, sent or paid without a way for you to see it and say yes. The goal is less typing for you, not less say.

a good fit

Who it is for

Anyone with a bookkeeper, a stack of forms, or a habit of doing admin at the kitchen table after everyone else has gone to bed. Clinics, studios, contractors and agencies all have their own version of the pile.

This works best when the paperwork follows a pattern. If it's the same kind of receipt, form or note week after week, it's a great place to start.

Questions people ask

Does this replace my bookkeeper?

No, and we wouldn't want it to. A good bookkeeper does judgment work that software shouldn't. This takes the data entry off their plate, so the time you pay for goes to the part that needs a person.

Which apps does it work with?

Most of the common accounting, file storage and form tools, and plenty of the less common ones. We start with what you already use. If something can't connect, we'll tell you before you spend anything.

Where do the files live?

In your accounts, not ours: your accounting software, your file storage, your inbox. We set it up and hand you the keys. If we ever stop working together, everything stays right where it is.

How much of my time does setup take?

Less than you'd think. Mostly a conversation or two and some real examples from you, like a week of receipts or the forms you send today. We do the building, then check in with you before anything goes live.

No jargon. No hard sell.
