Quotes before they cool off, invoices that chase themselves politely
Quotes get typed up at night. Invoices go out late and get chased later, or not at all. Neither one is anybody's favorite job. We set things up so a quote goes out the same day, in your words, and invoices get polite reminders on your schedule, so you never have to be the bad guy.
Quotes while people still care
When someone asks you for a quote, they're usually asking a couple of other businesses too. The one that comes back first, and clearly, has a real edge. The trouble is that writing a good quote takes a quiet hour, and quiet hours are rare.
So we make the first draft the easy part. Talk through the job in a voice memo, or drop in your notes and a few photos. A draft shows up with your pricing, your line items and your wording. You check it, change what needs changing, and send it.
Accept, sign and pay in one place
The quote arrives as a clean link, not an attachment that gets lost. Your customer can read it on their phone, ask a question, accept it, and pay a deposit if you take one. You hear about it the moment they do, and nobody has to print anything.
If they go quiet, a polite check-in goes out a few days later. Quotes stop quietly dying in someone's inbox.
Invoices that chase themselves, politely
Reminders go out on a schedule you choose: a friendly heads-up before the due date, a nudge after it, and a firmer note if it drags on. The wording is yours, and it stays kind. Most late payers aren't dodging you. They just forgot.
For regular customers, monthly plans can bill on their own, so the work you do every month gets paid every month, and you only hear about the exceptions.
Your money stays in your accounts
Payments go through your own payment account and land in your own accounting software. Never ours. We set it up, connect it, and show you where everything is. If we stopped working together tomorrow, nothing would move.
We'd rather make what you already have work than move you to something new. If your accounting software can already do half of this, we'll use that half and fill in the rest.
Where we usually start
Not with everything at once. Most businesses start with whichever hurts more: quotes that go out late, or invoices that get paid late. We get that one piece working on real jobs, you get comfortable with it, and then we look at the next.
Along the way, the money gets easier to see. Open quotes, what's owed, what came in this week. It's a lot easier to make calls when the numbers are up to date instead of pieced together at month end.
What this looks like
Quotes out the same day, in your words.
Paid on time, and you never had to ask.
Who it is for
Businesses that quote before the work or bill after it: contractors, agencies, event pros, studios, and anyone whose evenings keep getting eaten by paperwork with a dollar sign on it.
If you've lost a job because the quote went out a week late, or there's an invoice you've been meaning to follow up on for a while, we should talk.
We figure it out. We set it up. You keep it.
No favorite tools and no building for the sake of building. If something you can buy already does the job, we'll tell you to buy it.
Free call
You talk to the person who will do the work. 30 minutes on where you want the business to go and how the work gets done today. Then we send a plain-English proposal: what to fix first, whether to buy or build, and a fixed price.
Free · no obligationSetup
We buy, configure or build whatever the plan calls for, connect it to what you already use, and test it on real work before anyone has to rely on it.
Fixed-price projectHandoff
Your team learns how it works and how to change it. Want us around after? We'll tune things and look for the next thing to hand off.
Optional monthlyQuestions people ask
Do I have to change my accounting software?
Almost never. We start with what you already use and connect to it. If it truly can't do what you need, we'll explain why and what we'd suggest, and the choice is yours.
Can I still edit a quote before it goes?
Always. Every quote starts as a draft that you read, change and send yourself. Nothing goes to a customer until you press send.
What happens when a card fails?
Your payment provider tries again, and your customer gets a friendly note with a link to update their card. You hear about it too, so nothing surprises you at the end of the month. If it still doesn't go through, how to follow up is your call.
Can clients pay by bank transfer?
Usually, yes. Most payment tools take a bank payment as well as a card, and some customers prefer it for bigger jobs. Bank payments take a few days to clear, so we set reminders to wait instead of nagging someone who already paid.
